We only collect personal data in two situations, and only what we actually need.

2.1 Newsletter sign-up

If you sign up for our newsletter, we collect your email address — and nothing else. We use it only to send you the newsletter.

Lawful basis: your consent.

Withdrawing consent: you can unsubscribe at any time using the unsubscribe link in any newsletter, or by emailing privacy@viibe.network. When you unsubscribe we will stop sending you the newsletter; however, our email provider generally keeps a record that your email address has unsubscribed (a suppression record) so that we can honour your preference and keep an accurate history in case you resubscribe or a related query arises later.

2.2 Contact form

If you get in touch through our contact form, we collect your name, email address, phone number, and the reason you're contacting us. We use this only to respond to your enquiry and get back in touch with you.

Lawful basis: your consent, and our legitimate interest in responding to enquiries we receive.

3. Cookies and tracking technologies

Cookies are small text files stored on your device when you visit a website.

As at the date of this policy, we do not use analytics, advertising or other tracking cookies on www.viibe.network. We do not run third-party analytics or advertising tags, and we do not build profiles of visitors.

Our website is hosted on Webflow, which may set a small number of strictly necessary cookies required for the site to function. Strictly necessary cookies do not require your consent under the Privacy and Electronic Communications Regulations 2003.

You can block or delete cookies through your browser settings. Blocking strictly necessary cookies may affect how the site works.

If we introduce analytics or marketing cookies in future, we will ask for your consent before they are set, and we will update this policy first.

4. How your data is handled and shared

Our website and its forms are provided using Webflow. When you submit our contact form, your details are stored in Webflow's systems so that we can retrieve them and respond to your enquiry. Webflow acts as our data processor and only processes your data on our instructions. Where personal data is transferred outside the UK, we rely on the safeguards required by UK data protection law.

We use a reputable third-party email service provider to help us manage and send our newsletter. That provider acts as our data processor under a written agreement and only processes your data on our instructions. We don't sell or rent your personal data. Where our email provider stores or processes data outside the UK, we ensure appropriate safeguards are in place as required by UK data protection law.

5. How long we keep your data

We only keep personal data for as long as we need it.

Newsletter: we keep your email address until you unsubscribe. When you unsubscribe, our email provider keeps a suppression record of your email address so we can honour your request not to be contacted.

Contact form: we keep the details you send us only as long as we need them to deal with your enquiry and to keep within our legal requirements.

6. Your rights

Under UK data protection law (UK GDPR and the Data Protection Act 2018), you have the right to:

— access the personal data we hold about you;

— ask us to correct data that is wrong or incomplete (rectification);

— ask us to delete your data (erasure);

— ask us to restrict how we use your data;

— object to us using your data;

— ask us to transfer your data to you or another provider (data portability); and

— withdraw your consent at any time, where we rely on consent.

To exercise any of these rights, just email us at privacy@viibe.network. We'll respond as quickly as we can. Withdrawing consent won't affect anything we did with your data before you withdrew it.

If you're unhappy with how we've handled your personal data, we'd like the chance to put it right — please email us at privacy@viibe.network. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk.
